Full Time • Remote Flexible - US
 
The Manager of Exhibits and Sponsorships oversees the development and implementation of logistical operations and planning of the organization's annual EXPO, LABash, JobLink, sponsored webinars and other events, that focus on client value, revenue growth, cost savings, and innovation. The Manager will be responsible for creating and fulfilling sponsorship packages and benefits. The Manager of Exhibits and Sponsorships will report to the Managing Director of Development, with periodic duties assigned by the Senior Manager, Conferences, Meetings, and Special Programs.  

LEADERSHIP: 
  • Be strategic as it relates to the goals and objectives of the American Society of Landscape Architects and provide visionary guidance to achieve those goals.  
  • Develop and report project timelines as it relates to the success of the annual ASLA EXPO. 
  • Develop best practices and standard operating procedures as it relates to sustainability and Climate Action Initiatives. Work with outside vendors in achieving goals relevant to ASLA’s 2030 sustainability goals. 
Primary responsibilities:  
  • Develops and implements operational plans for the staging of exhibit events; implements and communicates plans to exhibitors, contractors, and delivery.  
  • Fulfill benefits of all sold sponsor packages for events, including coordinating sponsorship deliverables such as digital banner advertisements, eblasts, digital marketing, room drops, signage, etc. 
  • Develops exhibit hall floor plan and individual exhibit hall diagrams, including non-exhibit spaces. 
  • In coordination with the Senior Manager, Conferences, Meetings, and Special Programs, develops and manages exhibition expense budget process and completes and reports monthly projections. 
  • Oversees collaboration with the Sales team to develop sponsorship pricing and expenses. 
  • Assists the Managing Director of Development with the development of the annual Exhibitor Prospectus and Sponsorship Brochure. 
  • Coordinates with the Meetings Department in the execution of events’ exhibit logistics and operations, serving as the pre-meeting and onsite contact for the Official Service Contractor and all related vendors for all events. 
  • Maintains close relationships with and serves as primary event contact for new and existing conference exhibitors, sponsors, and strategic partners. 
  • Manages operations projects including exhibitor resources, exhibitor training, exhibitor incentives, exhibitor priority point system, etc. 
  • Exhibitor liaison for move-out, move-in and service contractor/venue issues. 
  • Develops and coordinates various exhibitor appreciation events, including coordination, catering, and invitations during show hours. 
  • Works with the marketing department in developing content for the Mobile App and website related to the annual EXPO. 
  • Manages exhibitor/sponsor surveys. 
  • Responsible for maintaining accurate records and submitting weekly sales reports to Managing Director of Development, the Senior Manager, Conferences, Meetings, and Special Programs, and the CFOO. 
  • Evaluates and makes recommendations to the Meetings Department for vendors to support exhibition services. 
  • Researches and identifies trends relating to exhibition management to continually improve exhibitor and sponsor satisfaction and retention. 
  • Evaluates new and emerging event technology for events to enhance the exhibitor and attendee experience. 
  • Coordinates ASLA exhibits at partner organization expos and events. 
  • Convenes an exhibitor/sponsor task force to discuss ideas to enhance the exhibit hall experience. 
  • Other duties as assigned. 
QUALIFICATIONS 
  • Three to five years’ experience in sales/service of exhibits and sponsorship products. 
  • CEM certification preferred. 
  • Highly effective written and oral communication skills. 
  • Ability to work both independently and with a team in a collaborative environment. 
  • Highly organized, ability to prioritize and carry out multiple concurrent tasks, and commitment to meeting deadlines. 
  • Experience managing people. 
  • Competency with mobile app evaluation and administration. 
  • Computer literate with proficiency using Exhibit Management Software (A2Z Preferred), Microsoft Office 365, Teams, SharePoint, Word, Excel, Adobe Creative Suite, Web Editor/Content Management System, and email. 
  • Excellent fiscal management and basic math skills. 
  • Good reporting and analysis skills. 
  • Basic familiarity with print and digital file and art types. 
  • Page layout and graphic design skills preferred. 
  • Ability to travel up to 25% of the time, including a minimum of 8 days, including weekends, on-site during the annual ASLA EXPO.

Compensation: $85,000.00 per year
